The Assistant to the President is a member of CEI’s administrative team and reports to the President and Executive Vice President. The Assistant to the President oversees and coordinates the day-to-day activities of the President. Computer/Outlook proficiency, including ability to coordinate calendars and other information among PC and portable devices and database proficiency. Superior letter writing and organizational skills are critical.
Calendar
• Maintains master schedule for the office of the President
• Schedules appointments in coordination with Development, Policy Analysts and President
• Provides President with daily schedule of meetings (the night before and the day of) and ensures he leaves for meetings on time
Correspondence
• Drafts, types and proofreads letters, memos, e-mails and other correspondence as requested by President
• Involves Development, Policy and Media in approving the final draft of letters relating to their department if letters are going out under the President’s signature
• Maintains electronic copies in an orderly and retrievable fashion, able to retrieve documents at a moment’s notice
• Monitors President’s electronic correspondence
Organization
• Establishes and maintains to-do list of outstanding actions (correspondence, meeting items, writing assignments, etc)
• Ensures Presidents desk and office is organized
• Ensures President stays on task when he needs to attend to an appointment or finish a project
• Keeps files with copies of all of President’s writings
Travel
• Makes both domestic and international travel arrangements for President including air travel, hotel, ground transportation (keeping an eye on cost)
• Assures president has list of meetings, maps, tickets, car rental info, hotel info, business cards, files, phone numbers, computer and computer parts and anything else the President needs when he is traveling
• Coordinates after-travel follow-up
Staff
• Informs staff of President’s assignments or of information they may need to know
• Tracks projects and checks status of assignments made by President to staffers
Phone
• Serves as point of initial contact in President’s offices, managing incoming calls, taking messages, ensuring calls are returned and informing other departments of phone calls as needed
• Fills in at front desk when needed (rare)
Board
• Assists in preparation of materials for, and coordinating dates for, Board of Directors meetings
• Takes board minutes, types them up and distributes them to Senior Staff and Board Members after approval
Events
• Schedules room, prepares room and orders food for president’s meetings
• Assists in preparation for annual fundraising dinner
Misc
• Gathers Presidents receipts, filling out forms for needed reimbursements and filings
• Performs any other duties as needed
