The Assistant to the Head Master of The Washington Latin School serves as the Executive Secretary to the Founding Head of School. In administering the Office of the Head Master, he/she coordinates all scheduling and communication between the Head Master and all constituencies, external and internal. The Assistant to the Head Master is involved in both support and planning. The administrative competence and professional demeanor of this individual will set the standard for a rapidly growing educational institution.

DUTIES AND RESPONSIBILITIES:
Maintain the Head Master's schedule.
Serve as the Head Master's corresponding secretary.
Edit all materials that represent the Office of the Head Master
Serve as liaison between the Office of the Head Master and other school departments and external constituencies.
Maintain files and secure databases including mailing lists, faculty files, student academic records, medical records, donor lists and institutional governance files.
Coordinate the Head Master's relationship with the Board of Governors and other members of the Corporation.
Organize and attend weekly meetings of the Senior Management Team, serving as scribe and facilitating follow-up.
Coordinate the Head Master's relationship with the Washington Latin Parent's Association.
Publish a weekly Head Master's Letter and Legenda to the entire school community.
Take the lead in administrative problem solving & program/project planning.
Work with Head Master and the Office of External Affairs in all event planning, V.I.P receptions, media relations and programs of institutional advancement.
On occasion serve as research assistant to Head Master.
Preparing regular and special summaries, or replies to inquiries, selecting relevant data from a variety of sources.
Assist Head Master and Business Manager in all vendor & supplier relationships.
Answer phone for the Office of the Head Master and respond to all e-mail inquiries, facilitating a timely response. .
Provides administrative assistance with faculty and/or staff searches, as appropriate, to include logging employment applications; preparing applicant acknowledgements and interview documents, coordinating interview logistics, and coordinating search documentation.
Schedule Head Master's appointments, maintain calendars & schedules, coordinate and facilitate meetings, facilities usage, events, and/or travel arrangements, as required.

MINIMUM JOB REQUIREMENTS:
The Assistant to the Head Master must have a bachelor's degree from an accredited college or university and at least 5 years of experience directly related to the duties and responsibilities specified.

Strong interpersonal and oral communication skills
Professional appearance and demeanor
Ability to create, compose and edit polished written materials.
Database management and record maintenance skills
Skill in the use of personal computers and related software applications.
Ability to gather data, compile information, and prepare reports.
Initiative in analyzing and solving problems
Ability to supervise and train assigned staff.
Skill in organizing resources and establishing priorities.
Demonstrated ability to maintain confidentiality.
Ability to make administrative/procedural decisions and judgments.
Knowledge of social protocol sufficient for event planning.
English/Spanish bi-lingual skills, though not required, would be beneficial.
COMPENSATION AND CONDITIONS OF EMPLOYMENT:
The pay for this position is negotiable relative to the qualification and experience of the successful applicant. It includes but is not limited to three weeks of paid vacation and health insurance.
